1. Who we are
This website is run by [Company name] (“Proplus Payments”, “we”, “us”), a company registered in [Country of registration, e.g. England and Wales] under company number [Company number], with its registered office at [Registered address].
We are the controller of the personal data described in this policy. For any privacy question or request, email [Contact email].
2. What we collect
When you request a readiness review through our form, we collect:
- your name and work email address;
- your brand or company name and your store’s web address;
- your approximate monthly card volume and your current payment-processing situation;
- anything you choose to tell us in the message field;
- a record that you agreed to be contacted about your enquiry.
We also receive the emails you send us, and our hosting provider records standard technical information (such as IP address, browser type and the pages requested) in server logs to keep the site secure and working.
We do not ask for card numbers, bank details or identity documents through this website.
3. How we use your data and why we’re allowed to
- To review your store and reply to your enquiry — because you asked us to (steps before entering into a contract) and our legitimate interest in responding to business enquiries.
- To contact you about your enquiry — based on the consent you give in the form, which you can withdraw at any time.
- To keep the website secure and prevent spam or abuse — our legitimate interest in protecting our systems.
- To meet legal, tax and accounting obligations if you become a client.
We don’t sell your data, we don’t use it for automated decision-making, and we won’t add you to marketing lists unless you separately agree.
4. Who we share it with
- Our hosting provider ([Hosting provider, e.g. Hostinger International Ltd]), which stores the website and form submissions.
- Our email delivery provider ([Email delivery provider, e.g. Brevo]), which sends form notifications and our replies.
- Payment providers and acquirers — only when you ask us to introduce you or submit an application on your behalf, and only the information needed for that.
- Professional advisers (such as lawyers or accountants) where necessary, under confidentiality.
- Authorities where the law requires it.
5. International transfers
Some of our providers may process data outside the UK. Where they do, we rely on UK adequacy regulations or appropriate safeguards such as the UK International Data Transfer Agreement or Addendum.
6. How long we keep it
We keep enquiry details for [12 months] after our last contact with you, unless you become a client. Client records are kept for [6 years] after our relationship ends to meet legal and accounting requirements. Server logs are kept for a short period set by our hosting provider.
7. Cookies and browser storage
This website does not use advertising or analytics cookies [update this section if you add analytics]. It uses a small amount of storage in your own browser:
- Your first name, for the current tab only — so our thank-you page can greet you. It is deleted as soon as the page has shown it, and when you close the tab.
- Your best score in our 404 mini game — kept on your device only and never sent to us.
To display the site, your browser also loads fonts from Google Fonts, animation code from cdnjs (Cloudflare) and a small script from our hosting provider, Hostinger. These services receive your IP address in order to deliver the files.
8. How we protect your data
The site is served over HTTPS, access to submissions is limited to authorised staff with secure logins, and form entries are protected against spam and automated abuse.
9. Your rights
Under UK data protection law you have the right to access your data, correct it, have it deleted, restrict or object to how we use it, receive it in a portable format, and withdraw consent at any time. To exercise any of these, email [Contact email]. We’ll respond within one month.
10. Complaints
If you’re unhappy with how we’ve handled your data, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
11. Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last changed.
